Export a case
Summary: You will export a case as a branded report, and, on internal cases, choose an audience package tailored to who will read it.
Export a case report
Select Export in the case header to produce a report package covering the case overview, members (with photos), activities, case items, evidence, addresses, organizations, and financials. The case's labels appear in the report in place of the older team and category fields.
Every internal role that can see a case can export it: exporting is not restricted to editors. A read-only role exports exactly what it can read. Store Associates cannot export (they have no case access), and neither can Regional or District Asset Protection Managers, whose territory scope does not include cases.
External cases have this single export. Internal cases have it and the audience-based export packages below.
Audience-based export packages (internal cases)
Internal cases carry an Export package action alongside the ordinary export. It opens a dialog offering audience-specific packages, each containing only the sections appropriate to who will read it, with a full include/omit table so you can see exactly what you are about to send before downloading.
Which audiences are offered depends on the path:

Each audience is an include/omit decision over the full set of report sections. In brief:
- Full internal and Attorney review include every section: the two audiences trusted with privileged and corporate-only content.
- Police / Law enforcement keeps the complete evidentiary set but drops the internal journal, the corporate-only diversion detail, and patient-privacy (PHI) content.
- Colleague Relations keeps only what supports a personnel action (subjects, narrative, case items, activities, resolution, evidence) and drops the external-entity, financial, and regulatory sections.
- DEA: Form 106 and Board of Pharmacy are the regulator packages. Both exclude the ORC, financial, and member-PII sections but always keep the controlled-drugs section that is the reason for the report.
Every omitted section is recorded with a stated reason, so both the export screen and the finished report explain, section by section, why an audience does or does not see a given piece. Every package carries a "CONFIDENTIAL … Download only, never emailed outside the organization" banner.
What you download
Choosing a package downloads a zip containing the audience-filtered report as a branded PDF, plus a folder of the actual evidence files. The report's evidence manifest links each entry to its bundled file.
Important: the zip bundles real evidence files for every audience, including external ones (Police, DEA Form 106, Board of Pharmacy, Attorney). A package handed to an external recipient contains your organization's private evidence files, so whoever exports it is responsible for where it goes. Handle these packages accordingly.
An evidence record with no file behind it stays in the manifest, marked "(no file attached)." Total bundled size is capped at 200 MB, with any overflow noted in the report rather than silently dropped.
Branding
Every exported document reflects your organization's export branding: logo, colors, header, and footer. Photos and images are embedded inline, so nothing in an exported document depends on a link that could expire.
