Transactional email
Summary: You will understand the three transactional emails the platform sends and the notifications it deliberately does not email.
The platform sends three transactional emails, all from one no-reply Retailium address. There is no digest, no scheduled or marketing mail, and no per-organization sender address.
The three emails
| When it is sent | |
|---|---|
| User Invite | When an administrator creates the person (for organizations using their own sign-in provider), or when a sign-in account is provisioned (where Retailium administers the accounts) |
| Case Share | When a case is shared with named people from the case's secure-sharing surface |
| Investigator Assigned | When someone is added to a case as a collaborator |
What the platform does not email
- No BOLO share email. Sharing a BOLO records the share in its history but sends nothing: the product itself says email notifications are not yet available. (See Share and export a BOLO.)
- No password-reset email from Retailium. A reset hands off to your organization's own sign-in provider, which sends its own message in its own branding.
- No notification, case-status, or report-ready email, and no way to subscribe or unsubscribe. The notification bell is never emailed.
How the emails behave
- All three share one Retailium shell (a navy header and footer). Your organization's own logo never appears in email; export branding does not apply here.
- Recipient lists are de-duplicated before sending, and long lists are sent in batches of fifty behind the scenes. A send reports success if any batch was accepted, so success does not guarantee every single recipient was reached.
- Case Share sends one personalized message per recipient, so no recipient learns who else received it. Both Case Share and Investigator Assigned link straight to the case, and are sent after the change is saved: a failed email never undoes the share or the assignment.
- The User Invite names only the organization the person is joining (never the inviting administrator) and opens a one-click welcome page that starts that organization's sign-in. Where Retailium administers the accounts, it carries a one-time temporary password to change at first sign-in, shown as one unbroken run of characters with a note to select it carefully: a copied trailing space makes sign-in fail. A welcome link for a deactivated or unrecognized organization shows an "invitation link invalid" message.
